Summary:
Maintains the schedules for all hospital procedures, not limited to cardiac catheterizations, percutaneous coronary interventions (PCI), rotoblators, IABP, AARO, PFO closure, ASD repair, cardioversions, TEEs, Radio Frequency Catheter Ablations, pacemaker implants, generator changes, ICD implants, electrophysiology studies, Loop recorder implants and explants, Watchman, TAVR, and LVAD work-up.
Duties may also include backing up the Appointment Desk and working referral queues.
Nurses are advised of procedure via email or Epic in basket from provider or a PHI Nursing Education Request form and send an email or notification through Epic to Procedure Schedulers with Patient Name, MRN, DOB, Procedure to be done, Hospital, Provider, Date preferred, Diagnosis/ICD-10 information and any Special Instructions.
Essential Duties and
Responsibilities:
1.
Schedulers assign CPT and ICD-10 codes to procedure to be scheduled based upon Nurse info provided and schedules procedure on hospital procedure schedule after coordinating date with patient.
2.
Schedulers then update nurses as to date of procedure and any additional information.
3.
(Nurses review instructions with patients and provide written instructions to patient in person or via mail.
) 4.
Schedulers notify Referral Coordinators so that referral or preauthorization can be obtained.
5.
If referral or preauthorization cannot be obtained, Referral Coordinator advises patient and works with provider and procedure scheduler to schedule a Peer to Peer or for another solution.
If the procedure must be cancelled, Procedure Scheduler cancels appointment (or reschedules for a later date) and notifies provider and nurse.
6.
As needed will remind physicians of scheduled procedures on a daily basis, or as changes occur via HIPPA compliant Text program.
7.
Maintains patient confidentiality.
8.
Performs related work as required or requested.
9.
Updates staff as changes occur.
10.
Starts a note in EMR regarding procedure.
PERFORMANCE REQUIREMENTS:
Knowledge of insurances, HMO's, patient types and referral process.
Skill in operating a computer and other business machines.
Skill in greeting patients and answering the telephone and dealing with patients in a pleasant and helpful manner.
Ability to establish and maintain effective working relationships with patients, other employees, and the public.
Ability to handle multiple priorities simultaneously.
Supervisory
Responsibilities:
This position does not have supervisory responsibilities.

Education/
Experience:
High School Diploma or general education degree (GED) and six months' workrelated experience or training required which includes:
knowledge of medical office procedures.
Certificates and Licenses:
No certifications or licenses.
Communication Skills:
Requires successful interpersonal and communication skills with patients, families, physicians, and other health care team members in order to foster optimal quality of outpatient care.
Language Skills:
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to effectively present information in one on one and small group situations.
Math Skills:
Ability to add and subtract two-digit numbers and multiply and divide with 10s and 100s.
Ability to perform these operations using units of American money and weight measurements, volume, and distance.
Reasoning Ability:
Ability to apply common sense understanding to conduct detailed but uninvolved written or oral instructions.
Ability to deal with problems involving a few concrete variables in standardized situations.
