Summary:
The Operations Analyst is responsible for processing invoices and issuing invoices to customers.
Maintains expense and forecast trackers.
Forecasts for supplies and equipment.
Job Duties:
- Processes invoices in the Ariett system and ensures all accounts payables are processed in a timely manner; researches and responds to past-due billing questions Reviews trial balance from Finance to ensure expenses are accurate Creates purchase orders Reviews and processes weekly temporary agency invoices and prepares weekly facility labor reports; works with agency to resolve charges that don't match Kronos labor reports, escalating to HR manager when necessary Prepares and distributes invoices to customers; Using spreadsheet templates, maintains expense tracker and other financial trackers Provides forecasts for supplies and equipment to directors/senior directors Reviews MHR summary billing to ensure its accuracy; if equipment not listed ensure that it is accrued in the following month Processes vendor claims; partners with Accounting and Treasury to process payments for lost inventory Supports account managers in responding to data requests May maintain customer-required trackers Completes project related administrative tasks such as researching, providing pricing information to director, and ordering apparel, food, vendors for special facility events Processes expense reimbursements for facility managers Orders office supplies, and production supplies when necessary Other duties as required and assigned Requirements:
High school diploma or GED (General Education Diploma) equivalency required; Bachelor's degree from a 4 year college or university preferred Minimum 1 year related experience and/or training; or an equivalent combination education and experience PC proficiency to include Microsoft Word, Excel and Outlook Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manual Ability to write routine reports and correspondence Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form Environment:
While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl and talk or hear.
The employee is occasionally required to sit and climb or balance.
The employee must occasionally lift and/or move up to 25 pounds.
The employee is regularly exposed to ambient lighting and temperate climate conditions.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
